Effective September 27, 2026

The Collision Guild LLC collects only the information reasonably needed to evaluate membership, administer Guild relationships, respond to inquiries, and protect the website.

1. Scope

This Privacy Policy explains how The Collision Guild LLC ("The Collision Guild," "we," "us," or "our") collects, uses, discloses, retains, and protects personal information through thecollisionguild.com, our membership application, and communications related to the Guild.

This policy applies to individual representatives of applicant shops, members, partners, vendors, and other business contacts. It does not govern the independent privacy practices of member shops or third-party websites.

2. Notice at Collection

When you submit a membership application, we collect the categories of information listed below. We use them to evaluate qualification, verify capabilities, communicate about the application, administer membership, protect the integrity of the Guild, and comply with legal obligations.

Information you provide

  • Business and facility information: legal and public-facing business names, website, city, state, postal code, number of locations, business structure, and estimating platform.
  • Contact information: the applicant representative's name, title, email address, and telephone number.
  • Qualification information: certifications, training affiliations, current capabilities, commitments, notes, and acknowledgements submitted with the application.
  • Communications: messages, questions, and other information you send to us.

Retention at collection

For applicants who are not admitted, we generally intend to retain application records for up to 24 months after the last application activity, unless a longer period is reasonably necessary for legal, security, dispute, or recordkeeping purposes. If a membership or other business relationship is established, relevant records may be retained for the relationship and generally up to seven years afterward.

We do not sell personal information or share it for cross-context behavioral advertising.

3. Information Collected Automatically

Our hosting and security providers may automatically process limited technical information, such as IP address, browser and device type, requested pages, timestamps, and security or error logs. We use this information to operate, secure, troubleshoot, and improve the website.

We do not use advertising cookies or behavioral advertising on this website. Essential technologies may be used when necessary to provide, secure, or maintain the site.

4. How We Use Information

  • Evaluate membership applications and determine next qualification steps.
  • Verify facility capabilities, commitments, and compliance with Guild standards.
  • Communicate with applicants, members, partners, vendors, and other business contacts.
  • Administer audits, status, compliance, and membership relationships.
  • Maintain records, prevent fraud or misuse, and protect the Guild and its systems.
  • Comply with legal obligations and establish, exercise, or defend legal rights.

5. When We Disclose Information

We may disclose personal information to service providers that support hosting, data storage, security, communications, professional services, or other business operations. These providers may use information only to provide services to us or as permitted by law.

We may also disclose information when required by law; when reasonably necessary to protect rights, safety, systems, or the integrity of the Guild; in connection with a merger, financing, acquisition, reorganization, or sale of all or part of the business; or with your direction or consent.

We do not authorize member shops to access another applicant's information merely because they participate in the Guild.

6. Retention

We retain information for the periods described in the Notice at Collection or for as long as reasonably necessary for the purpose for which it was collected. Retention may also reflect the status of an application or membership, contractual requirements, legal and accounting obligations, security needs, and the need to resolve disputes or enforce agreements. Technical and security logs are generally retained for up to 12 months, subject to provider practices and legitimate security needs.

7. Your Choices and Privacy Requests

You may ask us to access, correct, or delete personal information associated with you by emailing info@thecollisionguild.com with the subject "Privacy Request." We may need to verify your identity and authority before acting. Some information may be retained where permitted or required by law.

If and to the extent the California Consumer Privacy Act applies to us or a particular request, California residents may have rights to know, delete, correct, opt out of sale or sharing, limit certain uses of sensitive personal information, and receive equal treatment when exercising privacy rights. We do not currently sell personal information or share it for cross-context behavioral advertising.

Do Not Track and opt-out signals

Because we do not sell personal information, share it for cross-context behavioral advertising, or use behavioral advertising on this site, browser Do Not Track settings do not change our current practices. We honor legally required opt-out preference signals where applicable.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No website, transmission, or storage system can be guaranteed completely secure, and we cannot promise absolute security.

9. Children

The website and membership program are intended for business representatives and are not directed to children under 18. We do not knowingly collect personal information from children through the membership application.

10. Changes to This Policy

We may update this Privacy Policy as our practices or legal obligations change. The effective date at the top identifies the current version. Material changes will be posted conspicuously when appropriate.
